Dear Senators.

In preparation for a virtual May Senate meeting, we are holding a Mock Virtual Senate Meeting on April 1st at 3:30pm via Zoom. The Zoom information for this mock meeting follows immediately after this message. The same details will also post to our Senate Website.

The purpose of the mock meeting is to work out technical details and to hold a test vote. We would like the May meeting to go as smoothly as possible. Not everyone is an expert at using Zoom. So, we will try to keep things as simple as possible.

We are asking all Senators to please plan ahead and to make sure that they can do all of the following technical things.

1. You should be able to sign into Zoom.

2. You should have your correct full name appear in the Zoom conference. Or, you should know how to change the name that appears to the correct one for the Senate meeting. This is for attendance and to record votes.

3. You should be able to view and participate in the Chat window. We will hold any/all votes through the chat.

4. You should be able to mute and unmute your microphone.

In an effort to keep order and to make sure that things are clear, participants will be muted upon entry. We also ask that you use the chat feature to ask to speak. This will make it easier to recognize and hear from all individuals that wish to add to the conversation.

Dear Senators.

Please be informed that the April 1st Senate meeting has been cancelled. The decision to cancel was made in consultation with all of the Senate committee chairs; it is not possible to meet in person at this time and we are not yet ready to successfully hold a Senate meeting virtually.

The Governance Committee and all committee chairs are currently working with IT to hold our May 6th meeting remotely. We are also creating an inventory of critical Senate issues that require Senate action before the end of the academic year (like the approval of our graduation lists). From these critical issues, the Governance Committee will prepare a condensed agenda for the May 6th meeting. The Senate will only consider critical issues in an effort to make sure that we finish necessary business by the end of the academic year.

Please make every effort to attend our virtual meeting on May 6th.

A quorum is needed to officially conduct Senate business. Full details about the virtual May 6th meeting will be made available as soon as possible. We also plan to hold a "mock meeting" in an effort to limit technical issues ahead of time. These details will also be announced as soon as possible.
